Each month (first week)

1. Wikinger tours (4206, 4207): open the Wikinger import tab, paste the Wikinger export, check the preview and click Apply. No more copying grey helper columns.
2. Our own tours (BCHIGH, BCLODG): click ↻ Update BCHIGH / BCLODG from booking sheets, check the month in the pop-up (it starts on the current month), click Read the booking sheets, check the preview and click Save. It reads every “Group Booking Infosheet” in the season's Bookings folders in OneDrive and fills in PAX, holds, tour dates and cancellations. Don't skip a month: the sheets only show today's numbers, so a missed month can't be filled in later.
3. Type CXL for a cancelled departure, N/A where there's no figure, or clear the cell to blank it.
4. Check the Summary tab: each tour shows this season against the same month in earlier seasons, with +/- against the season you pick.

How the booking sheets are read

• Folder: _Guided Tours › SMALL GROUP TOURS - series + tariff › BCHIGH (or BCLODG) › BCHIGH 2027 › Bookings 2027, using the season picked at the top.
• One sheet per departure: the number after the dash is the Dep # (BCHIGH-3 → Dep #3).
• PAX = guests with a name in the main list. On hold = names in the ON HOLD list, shown as a small +n next to the PAX and not counted.
• Tour dates come from Tour Start / Tour End at the top of the sheet; capacity from “… 12 pax max”.
• A file name containing CANCELLED or CXL marks the departure cancelled (CXL) for that month.

Setting up a new season

Choose + Set up next season… at the bottom of the Season menu. It copies every departure of the latest season (same numbers and capacities, dates cleared) so you can fill in the new dates.

Glossary

• PAX: passengers booked = confirmed (OK) + on request (RQ).
• gesichert: Wikinger's word for a departure that is guaranteed to run. Shown as GUARANTEED.
• Capacity: 12 per departure unless changed on the departure.
